The Farm Vault is operated by Doc Home Improvements, LLC ("Company," "we," "us"). This Privacy Policy explains how we collect, use, store, and protect your information when you use the Service.

- Password (stored as a secure hash — we never see your plain text password)
Farm & Asset Data
- Farm names, addresses, acreage, and type
- Asset descriptions, makes, models, serial numbers, VINs
- Photos of equipment, buildings, and homes
- Estimated values and replacement costs
Insurance Data
- Policy numbers, carrier names, coverage amounts
- Premium amounts, deductibles, policy dates
- Uploaded policy documents (declaration pages, PDFs)
- Driver information (names, license numbers, dates of birth)
Payment Information
- Payment processing is handled entirely by Stripe. We do not store credit card numbers, bank account details, or other payment credentials on our servers.
- We store your Stripe customer ID to manage your subscription.
Usage Data
- AI Coverage Advisor conversation history (stored per session, not permanently)
- Login timestamps and general activity logs
3. How We Use Your Information
- To provide the Service — storing your assets, policies, and generating reports
- AI analysis — your policy documents and asset data are sent to AI providers to answer your coverage questions. This data is not used to train AI models.
- Email communications — account notifications, renewal reminders, and marketing emails (with your consent)
- Billing — processing subscription payments through Stripe
- Improving the Service — understanding how features are used to make them better
4. Who Has Access to Your Data
- You — Full access to all your data through the Service
- Farm members — Users you invite to your farm can see shared farm data
- Company administrators — Limited access for support, troubleshooting, and service maintenance
- Renewal link recipients — People you share renewal links with can see a read-only summary of your coverage
We do not sell, rent, or trade your personal information to third parties.
5. Third-Party Services
We use the following third-party services that may process your data:
- Stripe — Payment processing (Stripe Privacy Policy)
- AI Providers — For photo analysis and coverage advisor features. Your data is processed but not stored or used for training.
- Cloud Storage (AWS) — Secure storage for uploaded photos and documents
6. Data Security
We protect your data through:
- Encrypted connections (HTTPS/TLS) for all data in transit
- Encrypted storage for sensitive data at rest
- Secure password hashing (bcrypt)
- Role-based access controls
- Regular security reviews
No system is 100% secure. While we take reasonable measures to protect your data, we cannot guarantee absolute security.

We retain your data for as long as your account is active. If you delete your account, we will delete your data within 30 days, except where retention is required by law.
